How do I get an email or text alert the moment a new Meta lead comes in?

Not from Meta alone. Meta's own alerts are a "You have new leads" notice in the Meta Ads Manager app and a list in Leads Center, and its help pages describe no email or text for each lead. For that, send leads to a tool that alerts you: a CRM workflow, a connector such as Zapier (instant trigger, paid plan) or Make, or Meta's leadgen webhook. Meta says webhook pings can lag up to a few minutes; HubSpot says its lead sync can take up to two hours.

As of November 2026.

Before you start

  • A Leads campaign with an Instant Form. Meta's Ads Manager app shows leads "If your campaign uses the Leads objective."
  • Access to the Page's leads. Until someone with full control customizes leads access, Meta says "all Page admins have the ability to download leads." When someone turns on custom access, Meta gives it to the existing Page admins and connected CRMs. Anyone or any tool added after that must be assigned, and "CRM systems without proper access will not receive real-time updates." The setting is under Integrations, then Leads access, in your business portfolio's settings.
  • Who gets the alert, and where: each rep's email or mobile number, or a Slack channel.
  • A plan for old leads. Meta says leads "will only be available for 90 days after they were submitted," so sync or download them before then.

Step 1: Turn on what Meta already sends

  1. Meta Ads Manager app. Install it on the phone of whoever follows up. Meta says you'll see a "You have new leads" message when you tap Notifications at the top of the app. Its page doesn't say whether this also comes as a phone alert. Tap View leads, tap a name, then tap Email to write to the person and update the lead's stage. Under Options, then Manage, Export leads emails you a CSV.
  2. Leads Center in Meta Business Suite. Click Leads Center in the menu, or All tools, then Engage audience. Leads from lead ads land there at the Intake stage. Assign an owner, then use Schedule a reminder so that person follows up.
  3. Business Suite notification settings. Go to Settings, click Notifications, and under Business updates turn each type on or off for Business Suite or email. Meta's page doesn't name the types or mention leads, so don't count on an email per lead.

What Meta doesn't document. LeadSync, a vendor that sells lead alerts, wrote in October 2026 that "some Ads Manager accounts show a Notification Delivery panel when you set up an instant form." It says the panel can alert through the Facebook app, Messenger, the Ads Manager app or WhatsApp, but that "Email is a once-a-day digest, not a per-lead alert," sent only to people in your business portfolio. It also says Business Suite app alerts often arrive 15 minutes to several hours late. Jon Loomer reported something similar in April 2025: a "Lead Delivery" option in ad creation, seen in a couple of accounts, that emails leads to people on your team "on a regular schedule." We couldn't confirm any of this on Meta's help pages. If you see the panel, test it before you rely on it.

Step 2: Pick a route for per-lead alerts

Meta's developer guide says "Many CRMs provide real-time updates" for lead ads, so check your own CRM's sync speed before you build alerts on it.

Step 3: Connect your leads to the tool

  • A CRM. Follow how to send Meta leads to HubSpot or Salesforce.
  • A connector. Connect a Facebook profile that has access to the Page's leads, then pick the Page and, if you want, the form. If your portfolio has customized leads access, assign the connector there too. Make's guide, for example, says to go to Settings, Integrations, Leads Access, click Assign CRMs, select Make and click Assign.
  • A webhook. Subscribe your Meta app to the Page's leadgen field. Meta says notifications are only sent if the Page has installed your app. Each ping carries IDs (leadgen_id, form_id, ad_id and others), not the person's details, so your code then fetches the lead with leadgen_id. Meta also says "You can't retrieve leads if your app is in Development mode."

Step 4: Build the alert

  • In HubSpot, add an action to a workflow that enrolls your new Meta leads. HubSpot's options include Send internal email notification ("to specific users, teams, or owners"), Send in-app notification and Send Slack notification, which needs your Slack workspace connected. HubSpot lists no internal text message action; its SMS action texts contacts, not your team.
  • In Zapier, add a step after the New Lead trigger: Gmail for email, Slack for a channel ping, or SMS by Zapier or Twilio for a text. Zapier says its built-in SMS number sends "a limited number" of texts, and a successful step means the text "has been queued, not delivered." For texts your sales team depends on, use a paid SMS service.
  • Put what the rep needs in the message: the lead's name, phone, email and which form they filled in, so they can call without opening another tool.

If you also want alerts when an ad is rejected or stops delivering, that's a different setup: see Meta ad rejection and delivery alerts.

Step 5: Test it end to end

  1. Open Meta's Lead Ads Testing Tool (developers.facebook.com/tools/lead-ads-testing), pick your Page and form, and create a test lead. Meta allows one test lead per form, so delete it to make another. The tool doesn't work in developer mode.
  2. If you use Zapier, click Test trigger right after you create the lead. Zapier says the instant trigger might otherwise miss your sample lead.
  3. Check the alert arrives, who got it and how long it took. Then repeat with a lead from a live ad.
