Which Salesforce campaign member statuses should my LinkedIn, Google and Meta ad campaigns use, and which should count as Responded?

TofuAnswer by the Tofu team · checked

Count a status as Responded only when someone gave you their details from an ad: a lead form, a website form or a demo request. Salesforce has no set for paid media. We suggest Lead Form Submitted (LinkedIn, Meta and Google lead forms), Form Submitted and Demo Requested, all Responded, plus Clicked for a known person who didn't convert. Responded feeds the campaign's Responses in Campaign count, not Campaign Influence. Salesforce won't add your statuses to each new campaign for you, so clone a template campaign or load them with Data Loader.

As of November 2026.

Before you start

  • Edition and permissions. Campaign member statuses work in Professional, Enterprise, Performance, Unlimited and Developer Editions, in Lightning Experience and Salesforce Classic. To create, edit or delete them, you need Read and Edit on campaigns and Marketing User checked on your user record.
  • The related list. The Campaign Member Statuses related list isn't on the campaign page layout by default. Ask your admin to add it.
  • A campaign type for paid media. Salesforce recommends "a single set of campaign member statuses for each type of campaign," documented for your team. Give paid campaigns Type values such as Paid Social and Paid Search (see What's the best Salesforce campaign hierarchy for paid media?).
  • A way to get ad leads into campaigns. For how LinkedIn and Google leads join a campaign, see How do I set up Salesforce Campaign Influence so my LinkedIn and Google ads get credit for pipeline?

Step 1: Pick one status set for every paid campaign

Salesforce's own example is an event, with Invited, Registered and Attended. It gives no set for ads. This is the set we suggest for LinkedIn, Google and Meta campaigns:

StatusUse it whenResponded?
ClickedSomeone already in your database clicked an ad but filled no form (for example, a known Account Engagement prospect who clicked a tracked link)No
Lead Form SubmittedThey sent a LinkedIn Lead Gen Form, a Meta lead ad or a Google lead formYes
Form SubmittedThey filled a form on your landing page after an ad click, such as a content download or webinar sign-upYes
Demo RequestedThey asked for a demo, a trial or a call with salesYes

Why this split:

  • Native lead forms and website forms stay apart, so you can compare the leads each one brings. Demo requests stay apart from content leads, because you'll usually follow up on them differently.
  • Funnel stages stay out. MQL, SQL and Opportunity belong on the lead and the opportunity. A member status records what the person did in this campaign, and Salesforce says it "doesn't change automatically."
  • People who only saw an ad stay out. Campaign Influence "considers every campaign member, regardless of their member status," so adding everyone you target gives ads credit for people who never engaged.
  • Clicked is optional. You need it only if you track clicks from known people, for example with Account Engagement custom redirects.

What Responded changes. Salesforce counts responses in the campaign's Responses in Campaign field: "contacts and unconverted leads" whose status counts as responded. Parent campaigns add these up in Total Responses in Hierarchy. On each member, it sets the Responded field and the First Responded Date. It doesn't change Campaign Influence credit.

Step 2: Add the statuses to a campaign

In Lightning Experience:

  1. Open the campaign and select its Related tab.
  2. In the Campaign Member Statuses related list, click New.
  3. Enter the status name, select Responded if it counts as a response, and click Save.
  4. To change whether an existing status counts as a response, click Edit next to it.

In Salesforce Classic, open the campaign, click Advanced Setup, then Edit. Update the existing entries or add up to 50, and choose which values count as Responded.

Step 3: Choose the default status

Pick one status as the default. In Lightning Experience, click Change Default Status in the related list. In Classic, select one entry as the Default in Advanced Setup.

For a lead-gen campaign, make the default the status most members get, usually Form Submitted or Lead Form Submitted. Still set the status in every sync and import rather than counting on the default. Salesforce's Data Import Wizard help, for example, says a blank status "is automatically set to Sent."

Step 4: Reuse the set on every new paid campaign

Salesforce's knowledge article says it doesn't support changing member statuses for all campaigns at once, and it points to cloning a template campaign instead. You have three ways to do it:

  • Clone a template campaign. Salesforce's help says Clone in Classic copies member statuses, and in Lightning Experience you use Clone with Related and select the statuses. But its October 2026 knowledge article says the clone-a-template workaround "only works in Salesforce Classic, not in Lightning Experience." The pages disagree, so clone one campaign and check its statuses before you rely on it.
  • Load them with Data Loader. Statuses are records of the Campaign Member Status object. Export them first, then upsert a CSV that edits the Label, HasResponded and IsDefault columns or adds rows for new statuses. Leave the ID blank on new rows. Salesforce's knowledge article warns that changing a status's Responded or Default setting changes its ID. You can delete a status only when it isn't Responded, isn't the default and no member has it. Renaming a status that members already have causes an error.
  • Automate it, with care. Since statuses are records you can insert, an admin may be able to create them with Apex or a record-triggered flow when someone creates a paid campaign. We found no current Salesforce page that documents this, so test it in a sandbox before you rely on it.

Step 5: Set the status when ad leads arrive

Salesforce says you apply member statuses "manually, in bulk, or with Account Engagement automation tools." For ad leads:

  • Native lead forms. Whatever syncs your LinkedIn, Meta or Google lead form leads (a connector, Zapier or a webhook handler) must also add the person to the campaign with Lead Form Submitted.
  • Website forms. A record-triggered flow or Account Engagement automation adds the person with Form Submitted or Demo Requested, for example by matching the lead's UTM campaign value. If those fields are empty, see Why are the UTM fields blank on my Salesforce leads from Google and LinkedIn ads?
  • Bulk fixes. The Data Import Wizard updates members from a CSV with each lead or contact ID and a status. Start it from the campaign with Campaign Members, then Update existing records. In Classic, Manage Members has an Update Status list on the Existing Members tab.
  • Move people up. When a Form Submitted lead later requests a demo from the same campaign, change the status to Demo Requested. First Responded Date still shows when they first responded.

Step 6: Report on responses

Add Responses in Campaign to your campaign list views and reports. In campaign member reports, group by Status to compare lead form, website form and demo request volume for each ad campaign.

Once reports or automation use a status, don't rename it or change its Responded setting. Salesforce warns that this can "trigger statistics recalculation throughout your reports." Add a new status instead.
