Where do I download Meta ad invoices and receipts for our finance team, and how do I add our company's tax details?
TofuAnswer by the Tofu team · checked
Receipts are in Meta Business Suite's Billing & payments, under Payment activity: pick the ad account and dates, then click Download next to a charge, or use the Download menu for one PDF of every transaction or a PDF or CSV billing report. On monthly invoicing, use the Invoices page instead. Add an EU VAT number in Ads Manager's Account settings; Canada, Australia and India use Payment settings. Receipt downloads work on desktop only, need the right access, and new tax details apply only to future receipts.

Before you start
- The right access. It differs by task:
- Receipts: full control of the ad account if it's in a business portfolio, or admin if it's managed in Ads Manager.
- Monthly invoices: Meta's pages differ. One says view or manage finance access to the business portfolio is enough; another asks for full control of the portfolio plus manage finance.
- EU VAT number: full control of the business portfolio, or manage finance access.
- Indian GSTIN or Australian ABN: admin of the ad account.
- A desktop. Receipt downloads are desktop only.
- How you pay. Card, PayPal and other non-invoice payments get a receipt per charge. Monthly invoicing usually means one invoice per ad account that ran ads (see Meta monthly invoicing).
Step 1: Give your finance team access
This needs full control of the business portfolio.
- In Meta Business Suite, go to Settings, then People, and click the person's name. They must already be in your business portfolio.
- Click Manage in the Business portfolio access section, add finance access (view or manage) and click Save. Meta says it covers transactions, invoices, account spend and payment methods.
- For receipts, also click Manage next to the ad account on their page and give them full control of it.
Step 2: Open Payment activity
- In Meta Business Suite, go to Settings, then Billing & payments.
- With more than one ad account, select one in Accounts.
- Click Payment activity in the left menu and choose dates in the date dropdown.
Step 3: Download one receipt or all of them
For one charge, click Download below Action next to it. For the whole date range, open the Download dropdown: Download all transactions (PDF) gives a single receipt, and Download report (PDF) or Download report (CSV) gives the billing report.
Receipts show the amount spent, billing reason, campaigns that incurred costs and ad results.
Step 4: Match a FACEBK charge on your card statement
Every transaction has a unique 10-character reference number. It's on the receipt, and on your statement it follows "FACEBK*" or "FACEBOOK INC." If your statement shows only part of it, Meta suggests asking your bank for the full number.
- In Payment activity, click Reference number.
- Enter the number and click Search.
- Click Download in the Action column to get that receipt.
Step 5: Download monthly invoices, if you're on invoicing
- In Billing & payments, click Invoices and choose Invoices in the dropdown.
- Choose a date range.
- Click the Download icon for one invoice, or Download all, choose how to group them, and click Download.
Invoices show the issue date, due date, payment terms and taxes such as VAT or GST. For spend by campaign, click Create report, choose Invoice and campaign, pick dates and breakdowns, click Create, then Download.
Step 6: Add your VAT number or other tax ID
For an EU VAT number:
- Go to Account settings in Meta Ads Manager. You may need to enter your password again.
- Under EU VAT number, select your country in the dropdown.
- Enter your VAT number and click Save changes.
Outside the EU:
| Where you're based | What to add | Where Meta says to add it |
|---|---|---|
| UK | VAT number | Unclear. Meta's VAT page shows only an EU VAT number field and doesn't say where UK numbers go |
| Canada | GST/HST ID (in Quebec, also your QST number) | Payment settings in Ads Manager. With it added, Meta doesn't add GST/HST |
| Australia | ABN | Payment settings, ABN field. The business country must be Australia first |
| India | GSTIN: 15 characters, no spaces | Payment settings, Edit next to Business info. The business country must be India first |
| United States | No tax ID field described | Meta adds sales tax for a "Sold To" address in Alaska, or Washington since October 1, 2025, and general excise tax in Hawaii and New Mexico. Exempt in Washington? Send Meta an exemption form or MPU certificate |
Meta's "Taxes on Meta ads placement" page lists other countries' IDs, such as the UAE's TRN and Singapore's GST registration number.
Step 7: Check the bill-to address
Bill-to addresses sit under legal entities. You need full control of the business portfolio and manage finance access.
- In Billing & payments, open Legal entities and select the entity.
- In the Address tab, click Edit next to the address and make your changes.
- Tick Default billing only if new ad accounts and accounts with no address should use it (existing accounts keep theirs), then click Save.
You can't change the headquarters address, since Meta uses it to verify your business entity.
Will Meta add VAT to our receipts?
It depends on the "Sold By" Meta entity on your receipt and your "Sold To" address. For the EU and UK:
| Your situation | What Meta does |
|---|---|
| Sold By Meta Platforms Ireland, Sold To in Ireland | Adds VAT, business or not |
| Sold By Meta Platforms Ireland, Sold To elsewhere in the EU or UK, for business | No VAT added. You self-assess it at your local rate |
| Sold By your country's Meta office (Belgium, Denmark, France, Germany, Netherlands, Norway, Spain, Sweden, Poland or the UK), for business | Adds VAT, which you can likely recover if VAT registered |
| Private, non-business purchases | Adds VAT |
Your receipt shows a VAT total even when you weren't charged VAT. Meta says it can't give tax advice, so ask your accountant whether its receipts meet your country's rules for a VAT invoice.
Common problems
| Problem | Why it happens | Fix |
|---|---|---|
| No Download button, or no Billing & payments | Missing access, or you're on a phone | Use a desktop, and get access (Step 1) |
| You can't edit the billing address at month end | It's locked from 2 days before month end until invoicing finishes, up to 4 days after | Wait for invoicing to finish |
| Finance wants a receipt addressed to a client | Meta says receipts can't be addressed to different customers | Bill the client from your own system |
| A small charge you don't recognize | A temporary authorization to check your card | Meta voids it, and it usually clears in 3 to 5 business days. If not, ask your bank |
| The bill is higher than spend in Ads Manager | Taxes and, for ads delivered in some countries, location fees are added on top | See why Meta adds a location fee to your invoice |
